Summary of the role:
This role will provide day-to-day administrative support and project support to the department head and the overall team to ensure the successful delivery of the organisation’s operations in an efficient manner. This role will focus on generating reports, tracking progress, and ensuring all the necessary processes relating to compliance, finance and HR are completed in a timely and accurate manner.
About the Role:
- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.
- Develop, maintain and review administrative systems to achieve maximum efficiency and to have high-level exposure across the organisation including admin, finance, IT, HR, supporter services, IP, comms etc.
- Prepare purchase orders and document payments according to Muslim Aid’s financial procedure and in conjunction with the Finance team to ensure speedy payment of invoices for internal / external stakeholders.
- Assist the Head of Income Generation and Marketing with the preparation of PowerPoint presentations, documents, briefing papers, action points and reports as requested and to track work across all relevant departments to ensure the nominated Manager undertakes action within the agreed timeframe.
- Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.
- Be the gatekeeper and first point of contact to stakeholders, assessing priorities, redirecting calls, enquiries, and face to face meeting appointments.

This is a newly created administrative role to increase capacity in Londonwide LMCs, the membership organisation representing approximately 7,000 NHS General Practitioners in over 1,100 practice teams in London, providing pan-London leadership and shared committee services for its members. People Team Advisor
Job Role:
We need an exceptional People Team Advisor. This is a key post in supporting the management and staff of the FEC. The Forces Employment Charity to be effective in their roles and provide the very best quality of provision to our external delivery. This is a full-time, 35 hours per week, hybrid contract reporting to Head of People. The successful candidate will be required to travel to the London office 2 days per week – immediate start date but will wait for the right candidate.
Key Responsibilities:
- Ensuring the provision of a high-quality People (HR) service to all stakeholders in all employee life cycle in generalist capacity including resource, employee relations, learning & development, and reward, in accordance with the consistent application of charity policies and procedures and compliance with employment law and best practice.
- Produce employment contracts and variation to contracts in line with authorised management requests.
- Manage and Support onboarding processes with People Administrator.
- Work closely with the People and Payroll Department to ensure workforce information is kept up to date, employment changes are notified, and any problems identified and addressed.
- Issue timely and accurate payroll instructions, to meet payroll deadlines by working with People Team in specific Administrator.

- Provide and Support Administrator in the management information reports relating to HR, for example absence data, annual leave allowances, training compliance etc.
- Work with team managers to ensure all information (e.g., jobs descriptions, working hours and patterns, etc.) is consistent and up to date.
- Support Head of People in the development of HR policies, Rewards/Benefits, and other HR related projects, as requested.

About the role:
The MARAC Administrator will support the MARAC Coordinator in the administering the MARAC process. The post holder will be co-located in Brent and will be required to attend MARAC meetings in various locations as required. There will also be a requirement to attend Advance’s Headoffice
The MARAC Administrator will process MARAC referrals and flag to the MARAC Coordinator any referrals that have insufficient information or may not meet the MARAC threshold. The post holder will also compile the MARAC At Risk List for approval by the MARAC Coordinator, including case details of survivors and perpetrators who will be discussed at the MARAC.
About You:
To be successful as the MARAC Administrator you will need the below experience and skills:
An understanding of violence against women and girls with a particular focus on the dynamics of domestic violence (physical, emotional and sexual violence, so-called ‘honour-based violence’, forced marriage, stalking and harassment) and its impact on women, children, families and communities.
Experience of office management and administration roles and experience of maintaining data systems and producing regular monitoring reports
Accurate and methodical approach to dealing with data processing, filing systems, facts and figures
Excellent literary and administrative skills including ability in information technology, data collection and in-depth working knowledge of Microsoft Excel and Word
Good interpersonal and communication skills
The ability to be flexible, working as a team or independently as required to support the service and colleagues
An ability to work in partnership with relevant statutory and voluntary groups, to demonstrate the ability to develop and maintain strong constructive working relationships

Job Purpose:
The Fundraising and Administration Officer role primarily focuses on providing excellent supporter care and administrative support within the fundraising department. This role plays a crucial part in maintaining supporter relations, optimising fundraising efforts, and ensuring efficient administrative processes are in place.
Key Responsibilities:
Supporter Care:
- To be a first point of contact for the Fundraising Department, answering the phone and meeting and greeting people who arrive to the office.
- Respond to enquiries from supporters, prospective supporters and volunteers via telephone, e-mail, and post, maintaining excellent supporter relations.
- Ensure timely and appropriate acknowledgments, using both standard and bespoke correspondence.
- To adhere to administrative procedures to ensure the delivery of a high-quality service which is compliant with all relevant legislation, policies, regulations, and guidelines.
- Provide admin support for Direct Mail letters and appeals, including the use of mail merge, when required.
- Assist with the ongoing stewardship of Regular Givers.
Community Fundraising:
- Co-ordinate the recruitment and appropriate use of volunteers to support fundraising.
- Develop relationships with volunteer fundraisers, with the aim of maximising the funds they raise through challenges, events and talks.
- Support the formation of volunteer fundraising groups.
- Support ongoing and new events within the UK, which may include occasional weekend and evening work.
- Take the lead with the co-ordination and administration of public collections in the UK.
- Take the lead in monitoring fundraising merchandise, and liaise with suppliers, for fundraising materials, including Christmas Cards.
Digital Marketing:
- Support in developing UK digital fundraising opportunities.
- Administer digital acquisition campaigns in the UK e.g. through digital advertising, to generate new donors.
Database Management (Training will be provided):
- Create and maintain contact records on Salesforce, ensuring supporter information is kept up to date by recording changes to mailing preferences, gift aid eligibility and contact details etc.
- Database maintenance and housekeeping e.g. identifying and merging duplicate records, removing, or archiving redundant data, adhering to GDPR protocols.
Finance Administration (Training will be provided):
- Efficiently process and reconcile incoming donations, received daily by post, online and phone. Bank cheques and cash on a weekly basis, and process credit card and CAF donations.
- Record all donations to Salesforce, ensuring the accurate coding of income to the correct source and supporter.
- Administer new Direct Debit instructions.
- Support monthly and quarterly reports demonstrating fundraising income received against budget, to inform the management team and provide accurate forecasting.
- Scan and upload credit card statements and invoices for payment by the Finance team.
- Record and reconcile petty cash expenditure.
- Assist the Finance team in the reconciliation of all income received, responding to any queries.
General Office Administration:
- Order office stationery and fundraising supplies, as required.
- Co-ordinate general office maintenance, as required.
- Arrange accommodation for staff travel to Shrewsbury.
